How to Disable User Codes and User Authentication Requirement

If you need to disable user codes or user authentication requirement on your Ricoh machine, follow these steps:


1. Log in as Administrator

    - On the machine’s control panel or via the Web Image Monitor, log in with an Administrator account.


2. Navigate to Authentication / User Authentication Management

    - On the control panel: Home → Settings → System Settings → Administrator Tools → User Authentication Management.

    - Via Web Image Monitor: Configuration → Authentication / Charge → User Authentication Management.


3. Change the Authentication Method or Turn Off Authentication

    - In the User Authentication Management screen, select the desired authentication method or turn off authentication as needed.



4. Disable specific User Code requirement for Printer/Copy Functions (optional)

    - If you want to allow printing/copying without entering a user code while still having authentication for other functions, you can leave authentication ON, but set “Functions to Restrict” accordingly.


5. Save / OK / Apply the setting

    - After changing the setting, press OK, Apply, log out and then test with a regular user to ensure no code is required.


6. Check the Driver and PC Settings (if needed)

    - Update the driver settings to disable prompt for user code if necessary.


⚠️ Notes & cautions

- Disabling user code authentication removes tracking/usage of individual users unless another method is used.

- If the device is part of a managed network environment, ensure disabling user codes doesn’t conflict with your printing-policy.

- Menu names / layout may differ depending on firmware version, so you may need to navigate slightly differently.


By following these steps, you can easily disable user codes and user authentication requirement on your Ricoh machine.
